Key tasks of Treasurer/Trustee
The Treasurer oversee and participate in the monitoring of the EFB’s finances on behalf of the Board of Trustees. They will report regularly to them as a Board and make sure that money and property are managed properly. They will ensure that bookkeeping, record keeping and budgeting are done in a way that is accurate and informative and useful to the Board. This includes:
- Ensuring proper systems are in place for budgeting, financial control, and reporting
- Overseeing and monitoring procedures that reduce the risk of fraud
- Keeping all Trustees properly informed about the state of the EFB’s finances
- Ensuring financial reports are comprehensible and are properly discussed
- Ensuring that accounts and other financial reports are prepared in the proper form, on time and in the form required by other bodies – in particular the Charity Commission’s requirement for accounts following the guidelines set out in the Charities Statement of Recorded Practice (SORP)
- Overseeing the appointment of and communications with the Independent Examiner of the annual accounts.
- Monitor and report to the Board matters relating to the financial aspects of the overreaching strategic management of the organisation
- Oversee the charity’s risk management process and regular review
- Monitor activity within the EFB’s accounts with CAF Bank including authorising payments when needed, help with applications to funders supplying relevant information and authorising applications when needed
Main Responsibilities
- Ensure that all strategic plans are financially appraised and budgets are aligned to both short term and long-term objectives including using alternative scenarios
- Ensuring a high standard of management and year end accounting is maintained
- Explaining technicalities of accounts in plain language that can be fully understood by Trustees
- Develop a reserves policy with the Trustees to safeguard the EFB’s viability in varying scenarios
- Be the charity’s main contact for CAF Bank, HMRC, NEST, Highland Payroll Agency and the Charity Commission
- Ensuring that the charity’s bank accounts including cash resources are managed appropriately.
- Managing salary payments on a monthly basis and payments to HMRC and NEST pensions
- Submission of Annual Return and Compliant accounts to the Charity Commission (CC) and notifying them of any changes in data that the CC record and publish
- Updating Financial Procedures and seeking the Trustees approval of the any changes that need to be made.
- Engage with the Risks Matrix together with other Trustees.
Qualification
- Understanding of the structure and practice of Charity accounting including the application of SORPs in the Annual Accounts.
- Understanding of fundraising methods and legal requirements relating to charity Fundraising
- Ability to analyse financial data and to design reports to help Trustees understand implications and trends
- Ability to explain the details of monthly and annual accounts to the Trustees and their implications
- Understanding and acceptance of the legal duties, responsibilities and liabilities of trusteeship and the Treasurer’s role in particular
